Overview
We are seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative support to our senior management team. The ideal candidate will possess strong organisational skills, excellent communication abilities, and proficiency in various office software. This paid position offers an opportunity to work within a dynamic environment, supporting key executives in their daily operations and strategic initiatives.

Responsibilities

  • Manage and maintain executive calendars, scheduling meetings, appointments, and travel arrangements efficiently
  • Conduct cold calls to potential partners, clients, or candidates
  • Prepare and edit correspondence, reports, presentations, and other documents with accuracy and professionalism
  • Handle incoming calls with excellent phone etiquette, screening and directing enquiries as appropriate
  • Organise and coordinate meetings, including preparing agendas, taking minutes, and following up on action items
  • Maintain organised filing systems both digitally and physically for easy retrieval of information
  • Perform data entry tasks with high accuracy using Microsoft Office, Google Workspace, and specialised software such as QuickBooks
  • Assist with general administrative duties including photocopying, scanning, ordering office supplies, and managing incoming/outgoing mail
  • Support the team with ad hoc projects to ensure smooth daily operations

Skills

  • Proven administrative experience with strong organisational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar)
  • Experience using QuickBooks for financial record keeping is desirable
  • Excellent data entry skills with high accuracy and attention to detail
  • Strong clerical experience including filing, document preparation, and record management
  • Effective phone etiquette with clear communication skills
  • Fast typing speed to facilitate efficient document creation and correspondence
  • Demonstrated ability to prioritise tasks effectively in a fast-paced environment
